- Managing the switchboard: answering, forwarding calls, taking messages, and screening incoming calls
- Greeting visitors, escorting them to meeting rooms, notifying relevant staff of their arrival
- Providing administrative support to visitors, including printing, copying, and handling special requests
- Issuing and managing visitor badges
- Assisting with hotel and restaurant reservations, as well as travel arrangements
- Booking, updating, and managing conference room schedules
- Coordinating catering services
- Setting up meeting rooms
- Checking and ensuring readiness of conference rooms
- Coordinating with the IT department when needed
- Arranging transport services such as limousines and taxis
- Organizing various courier services
- Handling outgoing mail via Bpost, including registered letters
You are fluent in English and French or Dutch.You will work for an international law firm.
- Minimum 3 years of proven experience in a similar role, ideally within a corporate environment
- Fluent in English and French or Dutch, both spoken and written
- Excellent communication and interpersonal skills
- Strong reception skills with a professional appearance
- Ability to multitask efficiently with strong organizational skills and attention to detail
- Proficient in office software (Office Suite, call management systems, visitor management tools)
- Discreet, confidential, and respectful of internal procedures
- Team player with flexibility and responsiveness to unexpected situations
- Experience in managing schedules, bookings, and logistical coordination is a plus
- Proactive attitude with a solution-oriented approach
