For one of our international clients in the pharmaceutical sector, we are currently seeking an experienced Executive Assistant to support two senior directors working on EMEA level. In this hybrid role based in Brussels (European quarter), you will be instrumental in keeping day-to-day operations running smoothly and efficiently.You will:
Provide high-level administrative support to two senior directors.
Be responsible for complex calendar management, coordinating meetings and tracking important deadlines.
Handle office-related tasks such as budget follow-up, expense reporting, and basic office management duties.
Act as the first point of contact for internal and external stakeholders (partners, suppliers, other offices, etc.).
Arrange and coordinate international travel and prepare detailed itineraries.
Maintain internal communication tools such as team distribution lists.
Be a reliable and assertive team anchor, bringing structure and stability.
Help manage shifting priorities and support projects with a flexible and solution-oriented mindset.
Bring a hands-on, entrepreneurial spirit – someone who enjoys making things work even when processes are not crystal clear.
Your profile
You have proven experience in a similar executive or administrative assistant role.
You thrive in a fast-paced, high-level international environment.
You are a confident communicator and fluent in English, both spoken and written.
You’re organised, resourceful, assertive, and can handle sensitive information with discretion.
You love to anticipate needs, take initiative, and bring calm and structure.
You’re flexible, proactive, and solution-driven.
You’re based within commuting distance from Brussels and can work at least 3 days/week onsite.
You’re available ASAP and until 31 December 2025.
Full-time (100%) is ideal, but 80% can be considered.
You don’t mind juggling several tasks at once and can easily shift gears when needed.
