- You ensure accurate & timely workload-planning of all incoming ocean and air shipments according to existing service level agreements, taking into consideration priority rules & other possible constraints (free time, …).
- Ensure efficient & effective administrative handling of paperwork for EDC arrivals: You are processing documentation and uploading the shipments as inbound deliveries.
- You participate in daily briefings between planning & operations to ensure the number of resources are in accordance with the incoming shipments to execute inbound priorities. You update the inbound deliveries in S4 accordingly to ensure a correct data stream for SC planning.
- You are in close contact with the warehouse to follow up the incoming shipments and perform the necessary actions for over/under receipt after PGR.
- You are responsible for the correct handling of customs shipments and provide instructions to carriers as requested: Prepare correct inbound documents while meeting BD Compliance and Export Regulation requirements. Assure documents such as CMR, delivery notes, invoices, customs documents, certificates, dangerous goods documents are available before receiving.
- You serve as a back-up for the EDC complaints officer.
- External: assure necessary information flow to carriers, customs authorities, customers, incl EDI ( Electronic Data Interchange) …
- Internal: assure communication and collaboration with internal stakeholders such as Customer Care, Trade Compliance Center of Excellence, In & Outbound transport and warehouse/wave planning,…
- Prepare compliant inbound documents for shipments
- Assure correct archiving of all compliance files and electronic messages
- Strictly follow up of operational processes and report any non-conformities immediately - interact with Trade Compliance Center of Excellence (TCCOE)
- Assist in execution of internal and external audits by notified bodies (pre-shipment inspection), by local Customs Authorities, by external auditors (for Sarbanes Oxley)
- Setup, report and manage a set of KPI’s.
- Comply to QMS (Quality Management System) requirements.
- Assure up to date processes, job descriptions and work instructions for your process and team compliant with ISO 13485 guidelines.
- Assure representation in audits.
- Bachelor or master’s degree in Logistics, Supply chain or equivalent
- Proven experience in Logistics Administration, customs & transportation planning
- Good insight in end-to-end logistics processes
- Good Analytical skills & insight in management of KPI’s
- Customer centric and continuous improvement mindset. You are assertive and show flexibility.
- Good communication skills, incl. ability to work effectively in a matrix organization
- You are fluent in Dutch and English, both verbal and written. Any additional language is a plus!
- Experience with SAP (S4Hanna), Streamliner (SSW), Manhattan Warehousing system (WMS) and in QMS (Quality Management System – ISO 13485 / CAPA – Corrective Actions, Preventive Actions) are strong plus.
